TERMS AND
CONDITIONS
Mandala Club prides itself on being a vibrant,
inclusive, and creative community where members can relax, connect, and
collaborate. To ensure that our club remains a welcoming and respectful space
for everyone, we have established these terms and conditions. By adhering to
these principles, members contribute to the unique atmosphere that defines
Mandala Club.
Respect and Inclusivity
- Treat all members, guests, and staff with respect, dignity, and
kindness, regardless of gender, race, ethnicity, religion, sexual
orientation, age, or ability.
- Mandala Club fosters an environment of inclusivity and tolerance;
discriminatory language, harassment, or bullying of any kind will not be
tolerated.
- Respect the diversity of opinions, lifestyles, and creative
expressions within Mandala Club. Disagreements should be handled with
civility and professionalism.
Appropriate Behaviour
- Conduct yourself with integrity and courtesy while on club premises
or representing Mandala Club externally.
- Refrain from disruptive behaviour, including excessive noise,
inappropriate language, or conduct that may disturb the experience of
other members or guests.
- Alcohol consumption should remain responsible and align with
Mandala Club’s safe and respectful environment. Illegal substances are
strictly prohibited on the premises.
- Any form of physical altercations, threatening behaviour, or verbal
abuse will result in immediate action, including removal from the premises
and review of membership.
Privacy and Confidentiality
- Respect the privacy of fellow members, guests, and staff. Do not
discuss, share, or publish private conversations, personal details, or
sensitive information without explicit consent.
- Do not disclose or share any club-related matters, such as member
lists or confidential events, without prior approval.
Use of Club Facilities
- Treat Mandala Club’s facilities, artwork, and furnishings with care
and respect. Damage to property will result in financial penalties and/or
membership termination.
- Follow the rules and guidelines for specific spaces, including
dining areas, bars, and private event spaces, to ensure equitable access
and comfort for all.
Membership Policy
Fees and Subscription
- All
Members must at all times retain on file a valid authorised Credit or Debit
Card, or a GIRO
arrangement, as authorised and in accordance with such information provided by the Members on their application forms, in
order that Subscription fees may be charged by Mandala Club in a timely manner.
Members are required to update the Membership Team (community@mandala.club) of any changes to such information from time to time.
- Joining fees shall be payable by Members prior to admission to
membership. Such joining fees shall in no event
be refundable. Mandala Club shall have the rights to increase membership fees
or subscriptions at any point in time and will give members prior warning of
membership fee increases before charging. Joining fees may be paid by credit
card, GIRO arrangement, bank transfer or PayNow.
- Each member shall pay a deposit equivalent to 1-month of his/her
subscription fee corresponding to the type of membership at such rate from
time to time determined by Mandala Club.
- Each Member shall during the duration of his/her membership pay the
relevant subscription fee corresponding to its type of membership at such
rate from time to time determined by Mandala Club.
- All subscription fees are payable in advance only by means of the
credit card or by bank GIRO arrangement. The authorised payment method
will be automatically charged on the 20th of the month prior to which the
fees apply.
- Apart from the subscription fee, each Member has to be responsible
for payment of all consumption of food and beverages, special events,
classes or any other chargeable services or fees, by themselves or their
guests.
- Admin fees may be applicable for late payments.
- Mandala Club reserves the right to charge transaction fees on
transactions of all types, including credit card or GIRO transactions.
Mandala Club will not charge any transaction fee in excess of any fees
charged by any bank or payment provider.
Expulsion and Suspension of Membership
- If in the sole opinion of Mandala Club, any Member or any Guest for
whom the Member is responsible, has committed a
breach of any of these Rules; or any Member conducts themself or behaves or acts in any way which renders him/her
unfit for membership of Mandala Club or is detrimental to the interests,
character, or reputation of Mandala Club, Mandala Club may at a time which it
deems appropriate (i) expel such Member from Mandala Club at such time, the
Member will immediately cease to be a Member thereof; and/or (ii) suspend the
Member from membership and/or from all rights and privileges of membership of
Mandala Club (including but not limited to the use of all facilities of Mandala
Club) and/or disallow him/her or its nominee from being present at Mandala Club
Premises for such period as Mandala Club sees fit.
- Before exercising such expulsion and suspension, Mandala Club will
seek to clarify and may give notice in writing or orally to the Member
concerned and may invite him to make representations either orally or in
writing in respect of the matter of the complaint. Mandala Club may
thereafter consider any such representations received and may proceed to
consider the matter.
- If a membership is suspended, neither the Member nor the nominated
individual shall be permitted, for the duration of the suspension, to use
the facilities of Mandala Club, or exercise any other rights of
membership, but shall continue to be liable for all subscription fee and
all other sums due and payable by such Member to Mandala Club.
- If a membership is terminated by Mandala Club for any reason, then
all Joining Fees, and Subscription Fees, and membership deposits are
considered non-refundable, including the subscription fees for the month
in which Termination occurs.
Resignation of Membership
- A member may resign their membership by giving three (3) months’ notice in writing to Mandala Club. Such notice will take effect from the date it is received by Mandala
Club.
- For the avoidance of doubt, the membership joining fee and annual subscription shall not be refundable upon resignation. Additionally, members shall forfeit their respective one (1) month deposit upon resignation.
Liability on Termination of Membership
- Any Member who shall for any reason whatsoever
ceases to be a Member of Mandala Club shall nevertheless remain liable for and
shall pay Mandala Club, all outstanding balances arising from expenses and
subscriptions, which at the time of his/her ceasing to be a Member is owing
from him/her to Mandala Club. If the amounts are not settled, Mandala Club has
the right to charge interest on the outstanding amounts at a rate of 3% per
month from the date of non-payment to the actual date of payment, without prejudice
to all other rights Mandala Club hereunder.
Exclusion of Liability
- Mandala Club, Mandala Club, their management, staff, agents, or
representatives shall not be liable or responsible
whatsoever for any inconveniences, damages, financial loss, death, injury to
person or property of any Member or guests or any persons howsoever causes
whether arising from a breach of contract or in tort or otherwise, whether in
relation to the use of the facilities or participation in any activities of
Mandala Club or otherwise.
- All Members, guests, and any other persons shall enter Mandala Club
Premises or use the facilities of equipment of Mandala Club at their own
risks and such Member shall indemnify Mandala Club, Mandala Club, their
management, staff, agents, or representative on a full indemnity basis
against all claims, actions, demands, proceedings, impositions, financial
losses, damages, expenses, disbursements, liability and suffered or
incurred.
Guest Policy
- Each member may bring up to three guests at a time under their
membership privileges. Larger groups may require prior approval from
management and requests for such approval must be made on no less than
48-hour notice.
- Members are fully responsible for the behaviour of their guests
while on club premises. It is the member's duty to ensure that their
guests are aware of and adhere to Mandala Club’s Terms and Conditions,
including rules on respectful behaviour and privacy.
- Guests must not be left unattended on the premises at any time. If
a member leaves Mandala Club while their guest remains, this will be
considered a breach of the Guest Policy and may result in membership
review.
- In line with Mandala Club’s terms and conditions, members must
provide the first and last name of each guest at the time
of signing them in. This is mandatory and ensures compliance with our legal
obligations.
- Guests are expected to follow all club terms and conditions,
including appropriate behaviour, respect for staff and other members, and
the responsible use of facilities. Any misconduct by a guest may impact
the host member’s status.
- Guests may only access club facilities when accompanied by the
member. with our legal obligations.

Dispute
Resolution
- Disagreements or conflicts between members should be resolved
amicably and respectfully. If necessary, club management
may be called upon to mediate disputes.
- Personal grievances should not escalate into public disputes on
club premises or through social media.
Feedback and Complaints
- Feedback is essential to our continuous improvement. Members are
encouraged to share constructive comments and
suggestions directly with the Membership Team or Management at any time. Whether it's about
services, facilities, or events, your input is highly valued.
- Any concerns, disputes, or complaints should be escalated directly
to the Membership Team or Management. Members should
avoid addressing grievances publicly in Mandala Club or through social media, as this
can disrupt Mandala Club’s atmosphere.
- Once a complaint is raised, Mandala Club will:
- Acknowledge the issue promptly.
- Investigate the matter thoroughly.
- Provide a resolution or response in a timely and transparent
manner.
- Mandala Club has a zero-tolerance policy for aggressive, abusive,
or disrespectful behaviour toward staff. All feedback and complaints must
be communicated respectfully and constructively.
- Any member displaying aggressive or disrespectful behaviour toward
staff may face membership suspension or other disciplinary action. This
ensures a safe and positive working environment for our team.
Compliance with Laws and Club Terms & Conditions
- Members are expected to abide by all applicable laws while on club
premises or attending club-related events.
- Members must comply with the terms of their membership agreement,
including payment of dues and adherence to club terms and conditions.
Consequences for Breach of Conduct
- To maintain the integrity and reputation of
Mandala Club, any violation of these terms and conditions will be taken
seriously. Consequences may include:
- Informal Warning: For minor infractions, a verbal or written
reminder of club expectations.
- Formal Review: For repeated or serious misconduct, the incident
will be reviewed by club management, with possible
suspension of membership.
- Termination of Membership: Severe or persistent breaches may result
in permanent termination of membership.
Commitment to Community
- By joining Mandala Club, members commit to contributing positively to Mandala
Club’s creative, welcoming, and inspiring environment.
Amendments
- Mandala Club has the right at any time, without reference to any member:
- To amend, cancel, or add to any of the terms of these Terms &
Conditions/Rules.
- To formulate any other regulations relating to the affairs relevant
to these Rules and other affairs relevant to Mandala Club.
Waiver
- No condoning excusing or overlooking by Mandala Club of any default breach or non-observance or non-compliance by the Member
shall operate as a waiver of Mandala Club’s rights hereunder.
Force Majeure
- Upon the occurrence of an event of force majeure, which shall mean any event
beyond the reasonable control of Mandala Club, including without prejudice to
the generality of the foregoing, any incident of war, civil commotion,
governmental or administrative action, governmental acquisition, strike,
lockout, flood, drought, famine, natural disaster, or act of God, which shall
persist for a period of six consecutive months and results in the whole or any
part of Mandala Club Premises or Club facilities being made substantially
unusable for the purposes of Mandala Club or render the use of Mandala Club
Premises or Club facilities substantially impossible or unlawful, the
membership of all Members shall thereon be terminated whereupon the rights of
all Members and nominated individuals and all other persons under these Rules
or by virtue of any such membership shall lapse and no such Member or nominated
individual or other person shall have any claim against Mandala Club in respect
thereof.
Cessation of Operations
- If Mandala Club shall for whatever reasons determine to cease the operation
of Mandala Club, Mandala Club shall issue a notice in writing to each Member
prior to the date of cessation. All membership shall then be terminated and all
Members shall not be entitled to claim or demand against Mandala Club or
Mandala Club in whatever nature in relation to such cessation.
Interpretation
- Any question as to the interpretation of these Rules or any other matter
connected with Mandala Club shall be determined by Mandala Club whose decision
shall be final and binding on all parties concerned.
Acknowledgment
- All members agree to these terms and conditions upon joining and renewing
their membership. This document may be updated periodically to reflect the
evolving values and needs of Mandala Club and its community.
